Four steps from problem to system.

Audit the fulfillment process

Mapped the current manual steps from order receipt through packing, shipping, and delivery confirmation — identifying where tracking broke down.

Design the status system

Defined the order stages (Placed → Packed → Shipped → Delivered → Delayed), the fields needed for each, and the delay thresholds to flag.

Build the tracking layer

Connected Shopify to Sheets via Make, automated status updates based on fulfillment actions, and built the operations board view in Notion.

Test & hand over

Simulated orders through each stage, verified delay detection logic, and documented the daily monitoring workflow for the operations team.

Context

What this was built to solve.

Orders were being tracked manually in scattered spreadsheets with no automatic status updates. Delays were only discovered when customers followed up. There was no shared view of fulfillment progress and no way to spot bottlenecks before they became problems.

Outcome

Better order visibility, cleaner fulfillment workflow, and easier monitoring.
