Map the current approval process

Documented how content was being reviewed and approved — or not — and identified where posts were going live without final sign-off.

Design the pipeline

Built the content status system: Draft → In Review → Approved → Scheduled → Posted, with clear ownership and notification rules at each stage.

Build the automation

Connected Notion status changes to Make, triggering review notifications when drafts were ready and scheduling confirmations when posts were approved.

Test & document

Ran test content through all stages, verified notifications triggered correctly, and documented the daily workflow for the content team.

Context

What this was built to solve.

Content approvals were handled through chat and email with no tracking. Posts were sometimes published without final approval, scheduling was ad hoc, and there was no record of what had been reviewed or when.

Outcome

Clearer review process, faster approvals, and more consistent scheduling.
